If you came here looking for an installer

Yes — and the install is the easy part.

Your phone system does get installed, ported and cut over, and we run that project end to end — the provider's engineers do the work, we hold them to the schedule and to what they promised in writing. What we do not do is sell you the hardware, which is exactly why we can tell you when the cheapest quote is the wrong one.

The part worth doing carefully is the twenty minutes before you pick anyone. Choosing what to install is where the money is won or lost — the install itself is a Tuesday. If you already know exactly which platform you want, we will still price it against the market and tell you if you are being quoted fairly.

Replacing a PBX

An on-premises PBX with no parts, no support contract and one person left who understands it. We map what it is actually doing — including the analog lines feeding the alarm and the elevator — before anyone quotes a replacement.

Outgrowing what you have

The system was right at forty people and is wrong at a hundred and forty. Usually the fix is not the same vendor's next tier up, and they will not be the ones to tell you that.

A renewal you did not choose

The contract auto-renewed, or is about to, at a number nobody agreed to. There is a notice window and it is nearly always shorter than people think. Send us the date first.

What this number does not include — ask for each of these in writing

  • Number porting — per number, and whether the losing carrier charges to release
  • Handsets and headsets, or softphone-only
  • Network readiness: PoE switch capacity, bandwidth, QoS or SD-WAN
  • E911 dispatchable-location setup — every site, every remote user
  • Training and go-live support, and your current system's bill running in parallel through cutover
  • Add-on licences billed separately: call recording, CRM integration, analytics, contact-centre seats

Your invoice will differ. Providers apply these differently and add their own. The only way to get your real number is to put your quote in front of someone who reads these for a living.

The one nobody warns you about

The Regulatory Recovery Fee

Almost every quote you receive will be missing this, and almost every invoice will have it. It goes by several names — Regulatory Recovery Fee, Regulatory Cost Recovery, Compliance and Administrative Cost Recovery — and it is charged per seat, per month, on top of the taxes. Providers set the amount themselves, and some charge a good deal more than the government charges they are nominally recovering. Ask for it as a dollar figure before you sign, not as a line on your first bill.

Not a tax — theirs

Some of the "fees" on your bill are the vendor's own revenue

RingCentral's own fee disclosure says of its Administrative & Infrastructure Cost Recovery Fee: “this fee is not a tax, nor is it mandated by any level of government or government agency.” Its e911 service fee page says the same thing. Ringover publishes the actual amounts — $2.97 per user per month recovery fee plus $0.97 e911, which is $3.94 a seat that no government ever asked for.

And when you want to leave, the contract is the trap.

RingCentral MSA §6(B)

On early termination you owe “all sums remaining unpaid for the Services for the remainder of the then-current Term plus related Taxes and fees.” The full remaining term, not a penalty.

Vonage pricing terms

Early termination fees “can range up to the total price of your service contract.” Published in the fine print under the advertised monthly rate.

Nextiva NextOS T&Cs

The agreement names an “early termination fee (‘ETF’)” in its fee list — and then publishes no amount and no formula anywhere in the document.

Four of the biggest names will not publish a price at all.

We checked thirteen major providers' own pricing pages on 4 August 2026. Most do publish a starting rate, which is useful and we will say so. These four make you talk to a salesperson before you learn anything — and a starting rate you cannot see is a starting rate you cannot compare.

We carry agreements across hundreds of providers, and we know who is genuinely good at what — which one is strong in multi-site retail, which one falls over above two hundred seats, which one has an engineer in Houston. Copper lines become digital ones. An old T1 becomes fiber. A PBX nobody can get parts for becomes a platform your team can actually use from a phone. This is not change for its own sake — it is more capability for the same money or less, which is the only version of an upgrade that survives a budget conversation.

The result has to show up somewhere you can point at

Sometimes the win is the bill. You were spending a certain amount a month and now you are spending less, with a better estate than you had before. Sometimes the bill barely moves and the win is somewhere else entirely: four hours a week your office manager stops spending on hold with a carrier, a renewal you stop sleepwalking into, one number to call when something breaks instead of three, or the same money buying twice the capability. Lower cost, less friction, or more for the money — at least one of the three, in writing, before you sign anything. If we cannot get you any of them, we will tell you that too, and that is a real answer we have given before.
